2. Information We Collect

Account information

• Company name, name, email address

Credentials (encrypted)

• Encompass instance credentials
• HubSpot OAuth tokens
• Stored with Fernet encryption
• Never stored in plain text

Loan pipeline data

• Imported from your Encompass instance
• Stored securely in an isolated database

Usage data

• Login times, feature usage
• Used for security and audit purposes

What we do NOT collect

• Credit card numbers
• Social security numbers
• Borrower PII beyond what you sync

3. How We Use Your Information

• Provide the LoanFlow and FlowIQ service
• Sync data between your Encompass and HubSpot accounts
• Send service notifications
• Security monitoring and fraud prevention
• We NEVER sell your data to third parties
• We NEVER use your data for advertising

4. Data Storage and Security

• All credentials encrypted with Fernet symmetric encryption
• Each tenant’s data is completely isolated from other tenants
• CSRF protection on all forms
• Brute force login protection
• Audit logging for security events
• HTTPS encryption in production
• Regular automated backups

5. Data Sharing

We share data only with:

• ICE Mortgage Technology (Encompass API) — to fetch your loan data
• HubSpot Inc. (HubSpot API) — to sync your deal data
• Railway (hosting infrastructure) — to run our servers
• Anthropic (AI processing) — for AI-powered features only

We do NOT share data with anyone else.

6. Data Retention

• Your data is retained while your account is active
• You may request deletion at any time

• We delete all data within 30 days of account closure

• Delete your account and data

• Opt out of non-essential emails
